Privacy Policy and DPDP Notice

How SportPulse collects, uses, shares, protects, and retains account, location, activity, coaching, billing, and support data.

1. Who We Are

SportPulse is the operator of the SportPulse website, mobile apps, APIs, venue tools, tournament tools, coaching tools, support services, and related services. In this Privacy Policy, "SportPulse", "we", "us", or "our" means the SportPulse platform and its operator. "You" means a user of SportPulse.

Privacy, grievance, legal notice, and support contact: support@sportpulse.in. Where a verified legal process requires a registered address or additional entity details that are not displayed in the app, SportPulse may provide the applicable details through the support process.

2. Purpose of This Notice

This notice explains how SportPulse collects, uses, discloses, stores, and protects digital personal data when you use SportPulse. It is intended to serve as a privacy policy and notice for India-facing users under the Digital Personal Data Protection Act, 2023, where applicable.

Where a separate agreement applies to a venue partner, tournament organizer, coach, academy, guardian, or enterprise account, that agreement should be read together with this notice.

3. Scope

This notice applies to:

  • SportPulse web pages, including marketing, account, games, tournaments, venues, support, and legal pages.
  • SportPulse mobile apps for players and partner/operator workflows.
  • Accounts, profiles, authentication, email/phone verification, and social sign-in.
  • Court discovery, booking, game hosting, tournament registration, scoring, coaching, reports, partner operations, and support.
  • Notifications, analytics, security, moderation, and abuse-prevention systems.

This notice does not apply to independent websites, apps, or services operated by third parties, even if linked from SportPulse.

4. Personal Data We Collect

4.1 Account and Identity Data

We may collect:

  • Name, username, initials, profile display name, and profile photo.
  • Phone number, email address, password hash, sign-in method, and verification status.
  • Social login identifiers from Google or Apple, where you choose to use those methods.
  • Account creation date, login metadata, session information, authentication challenges, and security events.
  • Role information, such as player, game host, venue staff, venue admin, coach, partner admin, tournament manager, or platform admin.

4.2 Profile and Player Data

We may collect:

  • City, general location, travel radius, preferred sports, availability days and times, skill level, bio, profile privacy settings, direct-message preferences, and discovery settings.
  • Player ratings, ranking signals, match history, score history, reputation votes, punctuality and fair-play signals, and participation records.
  • Follows, tournament follows, crew membership, group membership, blocks, moderation reports, and community interactions.

4.3 Location Data

We may collect:

  • Venue, court, game, tournament, and coaching-location data.
  • User-provided city, approximate latitude/longitude, home-area location, travel radius, and map selections.
  • Device location only where you grant permission in the app or browser.

We use location data to help show nearby games, tournaments, venues, bookings, coaching activities, and community discovery results. You may be able to limit profile visibility, direct messages, or location display through account settings, but some location processing may still be necessary for bookings, events, support, fraud prevention, and legal compliance.

4.4 Booking, Game, Tournament, and Scoring Data

We may collect:

  • Bookings, participants, invited players, booking notes, status, reschedules, cancellations, payment status, offers, and reviews.
  • Games hosted or joined, co-hosts, participants, waitlists, preferred partners, leave reasons, teams, match format, match results, score sheets, set scores, live scoring events, verification information, and analytics.
  • Tournament data, including organizer, teams, players, captains, partner invitations, tournament rules, stages, fixtures, brackets, sponsors, logos, banners, schedules, match results, standings, registration status, and staff roles.

4.5 Coaching, Academy, Guardian, and Student Data

We may collect:

  • Coach profiles, coaching organizations, organization members, batches, sessions, drills, objectives, focus areas, attendance, assessments, goals, performance snapshots, reports, and audit logs.
  • Student names, student codes, date of birth, dominant hand, skill level, injury notes, coach notes, attendance records, assessment scores, strengths, improvements, goals, and report artifacts.
  • Guardian names, emails, phone numbers, linked user accounts, guardian permissions, invite tokens, report-share grants, and communication metadata.

Because coaching data may relate to children or health-adjacent sports performance details, coaches, academies, and guardians must ensure they have appropriate authority and consent before entering or sharing student data.

4.6 Payment, Subscription, and Transaction Data

We may collect:

  • Payment transaction records, amount, currency, payment method descriptor, payment status, provider reference, refund records, invoices, wallet balance records, and transaction metadata.
  • Subscription plans, entitlements, purchase status, auto-renew settings, billing cycle, provider subscription identifiers, App Store transaction IDs, Google Play purchase tokens, package names, storefront, purchase dates, expiry dates, revocation data, and raw purchase payloads required for verification.

SportPulse does not intend to store full card numbers, CVV values, or payment credentials. Payment processing may be handled by payment providers, banks, card networks, Apple App Store, Google Play, or other checkout providers, and their terms and privacy notices may apply.

4.7 Communications and User Content

We may collect:

  • Chat messages, thread metadata, read states, direct messages, group messages, crew messages, tournament or game messages, reports, reviews, comments, support tickets, email content, and notification payloads.
  • Uploaded files and media, such as profile pictures, facility images, tournament logos, banners, sponsor logos, report PDFs, and related metadata.

Do not upload content that you do not have the right to share.

4.8 Device, Technical, Cookie, and Analytics Data

We may collect:

  • IP address, device identifiers, browser type, operating system, app version, device model, language, time zone, crash/error logs, diagnostics, referral URLs, cookie/session identifiers, CSRF tokens, and activity logs.
  • Push notification device tokens, platform, app variant, notification preferences, delivery status, read status, and last-seen timestamps.
  • Usage patterns, feature interactions, performance metrics, abuse-prevention signals, and security logs.

5. How We Use Personal Data

We process personal data for lawful purposes, including:

  • Creating and managing accounts.
  • Authenticating users, verifying email or phone, preventing unauthorized access, and securing sessions.
  • Showing profiles, venues, games, tournaments, bookings, scores, coaching reports, and social features.
  • Matching players with relevant games, venues, tournaments, coaches, and community activity.
  • Managing court bookings, cancellations, reschedules, refunds, wallet records, invoices, and partner payouts.
  • Enabling game hosting, participant approvals, team generation, scoring, score verification, ratings, leaderboards, and analytics.
  • Enabling tournament creation, registration, team approvals, fixtures, sponsorship displays, standings, scoring, and organizer dashboards.
  • Enabling coaching organizations, student management, attendance, assessments, performance snapshots, reports, guardian shares, and audit logs.
  • Delivering push, email, SMS, in-app, service, security, booking, tournament, coaching, billing, and support notifications.
  • Processing subscriptions, app-store receipts, Play billing purchases, entitlements, renewals, cancellations, revocations, and refunds.
  • Moderating content, reviewing reports, enforcing fair-play rules, investigating fraud, preventing abuse, and protecting users.
  • Providing support, resolving disputes, responding to legal requests, and enforcing legal terms.
  • Improving SportPulse, debugging errors, analyzing product usage, and developing new features.
  • Complying with tax, accounting, consumer protection, data protection, platform, and legal obligations.

6. Lawful Basis and Consent

Where applicable, SportPulse may process your personal data because:

  • You voluntarily provided it for a specific purpose, such as creating an account, booking a court, joining a game, registering for a tournament, or contacting support.
  • You consented to processing, such as receiving optional notifications, sharing location, using social login, uploading media, or enabling certain discovery features.
  • Processing is necessary for contractual or service performance.
  • Processing is necessary for legitimate uses permitted by applicable law.
  • Processing is necessary for legal compliance, fraud prevention, security, dispute resolution, accounting, tax, or enforcement.

Where consent is required, you may withdraw it as described in this notice. Withdrawal may limit your ability to use features that require the relevant data.

7. Children and Guardian Consent

SportPulse is not intended for independent use by children without appropriate parent or guardian involvement. Users under 18 may use SportPulse only with consent from a parent or legal guardian, and coaching/student records may be created or managed only by authorized coaches, academies, guardians, or users with appropriate authority.

For child or student data, SportPulse expects:

  • The coach, academy, or guardian entering data has authority to do so.
  • Injury notes, attendance, assessments, reports, and performance records are entered only for legitimate coaching purposes.
  • Report sharing is limited to authorized guardians, staff, and intended recipients.
  • Children are not targeted with behavioral advertising.
  • Child data is not processed in a way that is detrimental to the child's well-being.

SportPulse may request parent or guardian confirmation, academy or coach confirmation, account verification, invite acceptance, written confirmation, or other reasonable evidence before enabling child/student workflows or acting on child/student data requests.

8. Sharing Personal Data

We may share personal data with:

  • Venue partners, facility managers, and staff to fulfill bookings, manage schedules, handle venue operations, resolve disputes, and provide support.
  • Game hosts, co-hosts, participants, tournament organizers, tournament staff, scorers, and coaches where needed for sports participation and event operation.
  • Coaching organizations, authorized staff, guardians, and report recipients where coaching workflows require it.
  • Payment processors, banks, payment gateways, Apple, Google, tax/accounting vendors, and billing infrastructure providers.
  • Authentication providers such as Google and Apple where you choose social sign-in.
  • Push notification, email, SMS, cloud hosting, analytics, error monitoring, database, security, and support vendors.
  • Professional advisers, auditors, insurers, legal counsel, regulators, law enforcement, courts, or authorities where required or appropriate.
  • Successors in connection with a merger, acquisition, financing, restructuring, sale, or transfer of business assets, subject to appropriate protections.

We do not sell personal data to advertisers.

9. Public and Shared Information

Some SportPulse information may be visible to other users or the public, depending on settings and feature context:

  • Public profiles, names, profile pictures, skill labels, reputation badges, and availability summaries.
  • Public games, hosts, player lists, tournament pages, teams, scores, standings, brackets, sponsors, venues, and facility details.
  • Chat messages and group content shared in threads where you participate.
  • Reviews, reports, or content submitted to venues, organizers, coaches, or support where necessary to resolve an issue.

Review privacy settings before posting or joining public experiences.

10. International Transfers and Storage

SportPulse may use hosting, app-store, payment, analytics, notification, and support providers that process data in India or other countries. Where required by law, we will use appropriate safeguards for cross-border transfers and may restrict transfers if applicable law or government direction requires it.

11. Security

We use administrative, technical, and organizational measures designed to protect personal data. These may include access controls, authentication, encryption in transit, logging, monitoring, role-based admin permissions, backups, and vendor security controls.

No system is perfectly secure. If you believe your account or SportPulse data is at risk, contact support@sportpulse.in.

12. Retention

We keep personal data only as long as necessary for the purposes described in this notice, unless a longer retention period is required or permitted by law.

Retention may vary by data type:

  • Account and profile data: while the account is active and for a reasonable period after deletion if needed for legal, security, fraud, or dispute purposes.
  • Booking, payment, invoice, tax, refund, and payout records: as required for accounting, tax, payment, and legal compliance.
  • Game, score, tournament, rating, and leaderboard records: as needed to maintain sports history, integrity, analytics, dispute records, and platform continuity.
  • Coaching and student reports: as configured by the coaching organization and as required for legal, guardian, audit, or business purposes.
  • Moderation and safety records: as needed to enforce rules, prevent repeat abuse, and protect users.
  • Logs and security records: for limited security, debugging, audit, and legal periods.

If a shorter period is not technically or legally required, SportPulse generally retains records for as long as the relevant account, booking, tournament, coaching relationship, partner relationship, subscription, dispute, legal obligation, security need, audit need, or business purpose remains active, plus a reasonable period afterwards for compliance and platform integrity.

13. Your Rights

Subject to applicable law, you may request:

  • Information about the personal data we process.
  • Access to personal data.
  • Correction or completion of inaccurate or incomplete personal data.
  • Erasure of personal data.
  • Withdrawal of consent where consent is the basis for processing.
  • Grievance redressal.
  • Nomination or other rights available under applicable Indian data protection law.

To exercise rights, contact support@sportpulse.in or use available in-app/account tools. We may need to verify your identity before acting on a request.

14. Account Deletion

You may request account deletion through available SportPulse tools or by contacting support. Deletion may remove or anonymize account-level data, but SportPulse may retain certain records where required or permitted by law, including payment records, tax records, booking disputes, fraud-prevention logs, moderation records, safety records, tournament results, and legal claims.

15. Cookies, Push Notifications, and Choices

You can manage some cookie choices through your browser and some push notification choices through the app, device settings, or notification preferences. Disabling essential cookies or notifications may affect sign-in, booking updates, tournament updates, coaching updates, and account security alerts.

17. Changes to This Notice

We may update this notice from time to time. Material changes may be communicated through the website, app, email, in-app notice, or other reasonable means. The "Last updated" date shows when this notice was last revised.
